
Accounts & Admin Assistant
Are you organised with a knack for keeping things on track? We’re on the lookout for a proactive Admin Assistant to join our Finance team and make sure the details are always covered.
The Role
As an Admin Assistant in a standalone role, you’ll play a key role in delivering finance, restaurant, and general administration to support our Finance team and growing business. Whilst you’ll be based in our Head Office in Rosebery, you’ll assist and liaise with teams across Australia and other global locations.
You’ll have:
- Minimum 2+ years administration experience
- Able to work independently in a standalone role and together in a team
- A positive, can-do attitude with the ability to take initiative and a genuine willingness to learn
- Accounting, bookkeeping and lease administration experience highly desirable
- Self-propelling and thrives in fast-paced / multi-site / high-volume environment
- Exceptional attention to detail and organisational skills
- Strong verbal and written communication skills
- Previous experience with Xero and Dext advantageous.
Key Responsibilities
Reporting to the Financial Controller, you’ll work closely with our Finance team to support the ongoing management and optimisation of our Australian and global locations.
You’ll be expected to:
- Monitor the Accounts and Properties inboxes to resolve any queries and sort/distribute requests
- Coordinate annual insurance renewals by compiling required documentation and distributing certificates to relevant stakeholders (e.g. landlords)
- Support accounts receivable processes, including raising customer invoices and following up on any outstanding payments
- Manage corporate credit card reconciliations, ensuring all receipts and supporting documentation are accurate and complete
- Process employee expense claims and prepare monthly expense reports
- Perform weekly bank reconciliations across multiple entities, investigating and resolving any discrepancies promptly
- Assistance with processing monthly rent invoices, outgoings and utility payments
- Assist with regulatory compliance for new restaurant openings, including securing council permits, certificates and relevant operational licenses
- Maintain electronic and physical documents and key registers
- General administrative and finance support as required by the Finance team and wider business e.g. Purchase orders, onboarding new suppliers, IT equipment purchases, data entry etc
- Role model and reinforce FISHBOWL’s people and culture standards.
